Aylesbury Vale District Council (AVDC) is located in the County of Buckinghamshire with a population of 172,000 and an annual budget of £20m
AVDC having brought their web site to a high standard using Web-Labs CMS technology and design services and were looking to make efficiency gains and improve the customer delivery of the Committee Minutes and Agendas.
AVDC engaged Web-Labs to design a Committee Minutes and Agendas system to replace their existing system as they required a more powerful document management system to control processes and procedures in the creation of reports and other relevant content. The system chosen after a successful trial run was Document Master and its Committees and Meetings module.
Web-Labs worked very closely with AVDC in designing a solution that closely met their requirements. During the development, additional functionality was identified to help improve the ease of use for the customer which Web-Labs included as part of the scope. They also worked closely with AVDC to find solutions to even the smallest of problems so that we ended up with a system that exceeded our initial expectations.
One major issue was how to convert the thousands of existing documents held in the existing Trove systems proprietary database. Web-Labs developed a conversion routine which read, converted and loaded these documents into the new database based on SQL 2005. This was achieved in a fraction of the timescale and cost that it would have taken if we had to go through a manual conversion process.
Customers have found the new fully web browser based system far easier to navigate around and the feedback AVDC have received from the public has been very positive. Administrators of the system have also found the system intuitive and easy to use with feedback being listened to and actioned.
The system was delivered to time and budget!
We find the new system much easier to use and we also found the support and attention to detail of the Web-Labs staff exemplary.
